Knowdia is a cloud-based system for all of the processes and data that make student affairs what it is.  Created by student affairs professionals, Knowdia reduces workloads while also improving the quality of associated data.

 

 

Designed to meet the needs of traditional residence life departments (programming, reporting, duty scheduling, etc.) in addition to the other many areas of student affairs (work order requests, inventory tracking, online knowledge base, etc.), Knowdia saves our partner institutions time and money while also providing students access to what they need in a convenient location.

Features

 

  • Program Proposal and Review
    • Whether we are talking about RA programs or student activities events, Knowdia allows departments to track a program from proposal through evaluation.  A staff member can submit a program proposal, including graphics, and receive approval/denial/comments from a supervisor quickly and easily.  Once a program is complete, an evaluation is easily added.  Using fields that match the statistics your department/division is looking for is easy and a great way to capture fast and helpful data.
  • Attendance Logging
    • One of the best ways to quantify a program’s success is by tracking who and how many people attended.  Using Knowdia, a staff member can either collect attendee information at the event, or enter it in later to get an accurate head count and a better understanding of who is attending what programs.  With resident data in Knowdia, you can see who is or is not attending programs, what types of events, what cohorts are most active, and more.
  • Student Contact Tracking
    • It is important to know who is contacting your department and why, and the Student Contact Tracking within Knowdia makes that process simple and fluid.  Whether you are tracking front desk interactions and phone calls, or meetings and conversations for future reference, Knowdia is there.
  • Internal Work Requests
    • Every department has areas that they want to track better.  For example, say your department has a social media specialist.  Rather than having staff members email them directly, your staff can now submit a “ticket” to them online.  This allows for easier stats collection in the future and allows a supervisor to see what is going on if a staff member is out.  It is nice to have everything in one, organized, place.
  • Duty and Shift Scheduling
    • There are a lot of moving pieces in the student affairs world and no one takes more time to manage than the human piece.  When you have resident assistants on duty or staff at front desks, its easiest to have all the information on who should be where and when in one place.  No more on-call nights calling a handful of buildings to figure out who is working; it is now all online in one place.  Goodbye Google Docs!
  • Equipment and Room Inventory
    • There are many physical assets to keep track of, both in resident rooms and in our department offices.  If you want to track department computers and corresponding repair tickets, Knowdia does that.  If you have residents or RAs submit check-in and check-out room inventory forms, Knowdia does that too.
  • One-On-Ones/Weekly Reports/Mobile Duty Logs
    • If you track your staff one-on-ones and/or have them submit weekly reports, Knowdia just made everything a lot easier!  No more paper forms, no more shuffling through emails and stacks of paper to find past comments.  Knowdia allows you to move both of these processes to the cloud and allows you to access anything, anytime.
  • On-Site Judicial Reporting/Mobile Roster
    • Knowdia is not a full fledge conduct software package, BUT it does allow staff to bring a mobile, easy access, note feature to track what is going on and when.  The mobile roster feature grants easy access to important resident information for RAs on duty or pro-staff members at home.
  • Facilities Work Requests
    • Don’t have your students email in their requests anymore, have them submit them on Knowdia!  Knowdia allows you to better track what requests are coming in and from where, and also allows multiple staff members to access the requests so the work load can be easily shared.
  • Knowledge-base/Training
    • There is a lot of information that every staff member needs to know – it is easy to forget a piece or two occasionally.  With the Knowledge-base area of Knowdia, you can post important information that you want your staff to be able to access easily.  You can post duty protocol, log-in information, how-to walk throughs, and anything else you can think of.
  • Customizable Forms

Knowdia is centered on the belief that people go into student affairs/housing operations because of their passion for working with students to ensure their years of higher education are successful and transformative.  However, as responsibilities and administrative duties grow, the number of hours we have in a day does not, taking away from the valuable time working one-on-one with students.  Knowdia reduces the amount of time necessary to complete tasks while also providing a more effective outlet for statistic and data collection.  Knowdia was created by student affairs professionals whose day to day responsibilities and frustrations form the foundation of each and every feature.

Knowdia utilizes Microsoft Azure’s cloud resources and scales usage and demand so performance is not hampered during your busiest times.  The Knowdia client sites are also secured using SSL certificates that projects data transmissions in and out of the servers.

Since Knowdia lives in the cloud, it is easy to access the data whether you are in your office, at an incident, or at home in bed.  You do not need to remote desktop into your work machine from home or email yourself important spreadsheets anymore, it’s all in Knowdia.

With small setup and usage fees, you will never feel like you are not getting what you pay for.  With the majority of Knowdia’s features available in one simple package, it’s up to you what to use and when.  Maybe today you just focus on programming, that’s ok!

History

 

I founded Knowdia in 2008 while working in residence life after three years of paper-filled resident assistant duties.  What started as a Microsoft Access system for judicial reporting has grown into a cloud-based system for the many areas within student affairs that can benefit from, and often require, accurate and timely statistics and data.

 

The mission of Knowdia is focused on my lifelong passion - using technology as a tool to simplify the monotonous responsibilities that are often the core of our positions.

 

Over my ten or so years working as an assistant director/area coordinator/resident assistant within housing and dining, and with the help of my colleagues and advisors, I was able to identify many areas which would benefit from an easy, efficient, and affordable technology solution.  These areas compose the core of Knowdia.

 

Leaving the full-time student affairs world to focus on Knowdia exclusively was not an easy decision or one I took lightly.  However, as more institutions and departmental areas were requesting to use it and glowing student/staff feedback became the norm, focusing on Knowdia was the obvious decision to make and the best way for me to help where I can.

 

Student affairs is powered by passion, as is technology as a service, and Knowdia shows that passion not only in its abilities, but also in its business model and its customer service.

 

The Knowdia team is comprised of a small, but passionate, group of student affairs and technology aficionados.  By utilizing powerful developmental tools and resources like Microsoft Azure, we are able to provide useful, up-to-date, and powerful products that are both reliable and cost-effective.
